1. Start from the requirements
Create a list of required evidence using your current official standards. Give every requirement an identifier, an owner, and a review status.
2. Use an example structure
For a fictional school documentation project, suggest a folder naming convention and evidence tracker columns. Include requirement ID, evidence title, document owner, source location, review status, and next action. Do not invent official accreditation standards. Explain how to prevent duplicate working copies.
3. Review permissions and sources
Keep original evidence traceable. Follow school rules for document access and AI tools. Use fictional examples when experimenting; do not upload private school records into an unapproved tool.
4. Build a review habit
Choose one regular check-in to resolve missing evidence, outdated links, and unclear ownership. Automate only after the process works for the people using it.
